Welcome to VLV Media & Records. We strive to provide a professional, creative, and comfortable environment for all our clients. By booking services with us, you agree to the following terms and conditions:

Deposits & Payments

For all audio recording and video production projects, a deposit of 30% - 50% (depending on the project’s scope and budget) is required to secure your booking. Please note, deposits and payments are non-refundable. The remaining balance is due according to invoice schedule. We accept cash, check, credit card, or digital payment methods. A fee of 3% will be added to payments made through Square. To avoid this, consider using Zelle.

Changes to Project Scope

Any changes to the project’s scope (e.g., additional shoot days, editing services, or extended sessions) will result in additional charges. Larger project budgets may affect labor rates, so adjustments will be reflected in the final billing. Clients will be informed of any rate changes in advance.

For video production, we include up to 2 rounds of revisions within the project’s initial quote. Additional rounds of revisions may be provided at our discretion, depending on the project, or they can be added for an extra fee.

Delivery Timeline

We will do our best to accommodate hard deadlines. Depending on the requested turn-around, a rush fee 15 - 30% may be added.

Cancellations & Rescheduling

For recording studio sessions, cancellations within 48 hours of the scheduled time are non-refundable and must be paid in full.

Due to the many moving aspects of video production, cancellations made within 48 hours of the scheduled shoot are non-refundable. We will always work in good faith to reschedule accordingly to minimize any additional costs, with no guarantees. If cancellations are made more than 48 hours in advance, the client agrees to cover any incurred expenses due to the cancellation or any additional expenses required to reschedule the project.

Unused Time & Session Downtime

Unused studio or shoot time cannot be transferred or carried over. In the unlikely event of technical downtime, VLV Media & Records is not liable for any damages or lost time. We will work to resolve issues promptly.

Ownership of Media

For video production, any footage not included in the final approved project remains the property of VLV Media & Records. Ownership of the final, approved footage is transferred to the client upon full payment. For audio recordings, no media will be released until all outstanding balances are paid.

Equipment & Location Responsibility

Clients are responsible for any damage to equipment or locations. If damage occurs, the client will be billed for the full repair or replacement cost. If the client has purchased production insurance, the deductible will be billed. Any damages must be reported immediately to avoid further costs.

On-Site Rules

• Food and drink should remain in designated lounge areas.

• No weapons, illegal substances, or unprofessional behavior will be tolerated.

• It is recommended to limit on-set presence to those directly involved in the project.

Client Responsibilities

The client is responsible for providing all necessary materials (e.g., briefs, reference tracks, branding assets) before production begins. Delays caused by missing materials may incur additional costs or shift deadlines.

Release from Liability

By engaging our services, you agree that VLV Media is not liable for any damages, delays, or disruptions caused by circumstances beyond our control, including but not limited to equipment failure, unforeseen client cancellations, or force majeure events.
